Who provides the service
ILO APPLICATIONS SL, trading as PortraitDock. Tax ID (NIF) B93663862; EU VAT ESB93663862. Registered address: Calle Artemisa 2, 29640 Fuengirola, Málaga, Spain. Legal, privacy and customer enquiries: [email protected]. These terms apply to personal purchases, team workspaces and API use. An agreed business contract takes precedence where it expressly changes these terms; mandatory consumer rights remain unaffected.
What PortraitDock provides
PortraitDock prepares an existing portrait with a selected studio background, solid colour or gradient, consistent framing and, for teams, an optional brand logo. Personal purchases include JPEG and PNG downloads in the selected format. Team batches accept up to 100 individual photos.
The current service preserves the photographed person’s appearance. It does not offer face reshaping, beauty filters or certification for passports or identity documents. Source lighting, pose and clothing affect the result. Inspect the preview: an unsuitable, blurred or cropped source may need to be replaced. Optional generative editing is a future feature and is outside this service.
Your photos, logos and account
You retain your rights in uploaded material. You give us permission to store and process it, and to use the necessary service providers, solely to deliver, secure and support the requested service. This does not give us permission to publish your photo in advertising or a public gallery. You may use your downloaded result subject to the rights in the original material.
Upload only material you are entitled to use, including the depicted person’s image and any logos. Do not impersonate others, infringe rights, upload unlawful material or use the API to bypass access controls or limits. Keep account credentials and API keys private. A team administrator must be authorised to act for the organisation. Purchasers must have legal capacity to enter the contract; a responsible adult must arrange any use involving a child.
Teams and businesses
Companies, sports teams, clubs and associations choose the purpose and lawful basis for their members’ photos and must provide the people concerned with an appropriate privacy notice. Employee consent is not automatically valid: participation must be genuinely optional if consent is the chosen basis. Do not include unnecessary sensitive information in filenames or person references.
Saved presets define the background, framing and logo used for a batch. Changing a later default does not change an existing batch. Review individual results before export. A data processing agreement covering team uploads must be in place before processing personal data on your organisation’s behalf; contact us to arrange it.
Prices, payment and delivery
The price, currency, taxes and included output or credit pack are shown before you pay. The checkout total applies to your purchase; see current pricing. Personal portraits are purchased per source. Team packs are prepaid, with no automatic subscription. Successful team processing consumes one credit; a failed processing attempt releases its reserved credit.
Payment is handled through Stripe. Paid downloads become available after payment is confirmed. Processing times depend on source quality, batch size and service availability; no turnaround guarantee applies unless expressly agreed. Any credit-expiry condition or separately agreed high-volume terms must be disclosed before purchase.
Consumer cancellation and refunds
If you buy as a consumer at a distance, you normally have 14 days from the contract date to withdraw without giving a reason. To withdraw, email [email protected] with your name, purchase reference and a clear statement that you wish to cancel. You can use: “I withdraw from my contract for [service], ordered on [date], under reference [reference]. My name and contact details are [details].” No particular wording is required.
Where the law permits immediate digital delivery to end the withdrawal right, this requires your prior express consent, acknowledgement of the loss of that right and the required contract confirmation. Purchasing, uploading or accepting these terms alone is not such a waiver. If those conditions have not been met, your applicable withdrawal right remains. A valid withdrawal is refunded within 14 days of notice, using the original payment method unless otherwise agreed, without a refund fee.
Cancellation rules do not remove your rights when a digital result is faulty or not supplied. Contact us if you cannot obtain the purchased result or see a duplicate charge. We will investigate and provide the remedy required by applicable law, which may include correction, a price reduction or a refund. Preview approval does not waive statutory remedies.
Downloads, deletion and closure
Unpurchased sources and previews expire after 7 days. Purchased and successfully processed team portraits have a 30-day working retention period. The period can be renewed by purchase or successful processing, as described in the Privacy Policy. Download results before expiry; this is not a permanent archive.
You can request earlier deletion. An unresolved checkout may temporarily prevent self-service deletion while its payment state is reconciled; contact us for help. A deletion or expiry ends access before background cleanup finishes. Closing an account does not erase records we must lawfully keep or automatically refund an already completed purchase.
Availability and responsibility
We may restrict access where reasonably necessary to prevent abuse, address a security incident or comply with law, and explain the reason where lawful. We remain responsible for providing the contracted service with reasonable care. Nothing here excludes liability that cannot lawfully be excluded, or reduces your mandatory rights. You remain responsible for your source material, lawful instructions and use of exported photos.
Changes, complaints and applicable law
We publish the date and version of these terms. Material changes apply prospectively; a new webpage version does not retrospectively change a completed purchase. Contact us first with a complaint so we can try to resolve it.
Spanish law applies, subject to any mandatory consumer protections in your country of habitual residence. These terms do not restrict your right to bring a claim before a competent consumer court or authority. The Privacy Policy explains personal-data use; accepting the terms is not consent to optional analytics or marketing.
