Prices may differ over time. The current pack, included credits, applicable taxes and final total are shown before payment. These are prepaid packs, with no automatic subscription. One successful source photo uses one credit; a failed processing attempt releases its reserved credit.
The starting price per person assumes one source photo per person and is rounded up to the nearest cent. The table shows the pack total and the more precise price per credit. Preparing another source for the same employee uses another credit. Compare personal portrait pricing if you only need your own photo.
Four steps from employee photos to a consistent set
Create your team account
Register an account and name your team or business. Use the workspace to manage your organisation's portraits. Before uploading employees' photos, establish your organisation's purpose and lawful basis and arrange a data processing agreement with us.
Save the background, logo and preset
Choose a studio background, solid colour or gradient, set square or portrait framing, and add an optional logo. Save the preset so the next batch can use the same composition. The logo sits in the bottom-right corner.
Upload individual employee photos
Add up to 100 photos per batch. Use one person per source with the full head and shoulders visible. Different source photos can share the same backdrop and head placement, but source lighting, pose and clothing still affect the set. Review before export
Inspect each preview and its processing status. Correct the framing where needed and approve ready portraits before export. Download the JPEG and PNG results for your chosen format. Keep your own copies before working-media retention ends.
A saved look for your next hire
A new starter does not need to wait for everyone else to be photographed again. Apply the saved preset to their existing photo, review the result and add it to your employee directory or website. The background, framing rules and optional logo can stay consistent across batches.
Presets and team brand assets are stored separately from portrait-media expiry. A later change to the default preset does not rewrite an existing batch. Keep a clear internal choice of preset for each department or use, and check the new photo against the set before publication.

What your team administrator sees — and does not see
Authorised workspace users can review uploaded photo items, prepared previews, processing status, photo references and approval decisions for their workspace. Source photos are also available where the correction view makes them accessible. This is a shared team workflow: do not treat an upload as private from the people authorised to manage that workspace.
It does not create a public gallery of employee photos. PortraitDock does not store full payment-card details; Stripe handles payment-card information. We do not use customer photos to train our own models, sell them, or publish them in marketing without separate permission. Provider handling and retention are governed separately; we do not promise zero provider retention or EU-only processing.
Working retention from our Privacy Policy
- Unpurchased portraits: 7 days from creation or the latest successful unpaid preparation, unless bought.
- Purchased portraits: 30 days from confirmed payment.
- Successfully processed team portraits: 30 days after their latest preparation.
Expiry blocks normal access, while cleanup of stored files can take longer. Backup and provider copies have separate schedules. This is working storage, not a permanent archive. Read the full Privacy Policy retention section for the limits and your options for earlier deletion.
Compared with booking a photographer day
PortraitDock starts with photos you already have, so employees do not have to attend one shared photography session. A saved preset can help you add people who work remotely or join later. Your team still needs to collect suitable sources, check permissions and review each output.
A photographer can direct lighting, pose, clothing and expression at the shoot. A background editor cannot recreate that coordinated capture. PortraitDock keeps the photographed person rather than generating a new face or outfit. Choose a photography session when you need new source portraits or direct photographic guidance; choose this workflow when your existing photos are suitable and you want a consistent presentation.
Questions before buying team credits
What does one team credit cover?
One successfully processed source photo consumes one credit. A failed processing attempt releases its reserved credit. Credits count photos, rather than employees: processing a new source for the same person is another photo. Review individual results before exporting them.
Will we receive an invoice?
Team-pack payment uses Stripe Checkout, which collects billing details and creates an invoice. For a separately agreed volume offer or external invoice, contact us before purchasing so the quantity, price and credit arrangement can be agreed.
Is VAT included in team prices?
The public team-pack prices are in EUR and exclude VAT. Checkout collects the billing address and an optional business tax ID, calculates applicable tax, and shows the final total before payment. Do not assume that entering a tax ID automatically makes a purchase tax-free.
Do team credits expire?
Our terms require any credit-expiry condition to be disclosed before purchase. Check the terms shown for your pack or separately agreed offer before paying. Credit conditions are separate from the 30-day working retention period for prepared team portraits; download your files before they expire.
Can we get a refund?
If processing fails or you cannot access a paid result, contact us with the order reference. We investigate defects and provide the remedy required by applicable law, which may include correction, a price reduction or a refund. Preparing a digital result with your express consent can affect withdrawal rights; the checkout explains this. We do not promise an unconditional refund for every purchase.
How many employee photos can we upload?
The batch editor accepts up to 100 individual photos per batch. Pack size is a credit quantity, rather than a limit on your organisation's headcount. You can use additional batches for a larger set, subject to available credits. Each source should show one person clearly, with the full head and shoulders visible.
Who can see the portraits?
Authorised workspace users can review uploaded photo items, previews, processing status and approval decisions in their workspace. Source photos are accessible where the correction view makes them available. Portraits are private; uploading them does not publish them on this website. Your organisation decides why it processes employee photos and where it publishes copies. Read the Privacy Policy and arrange a data processing agreement before team processing.
Can new starters use the same look later?
Yes. Save your background, framing and optional logo as a preset, then use that preset for new employee photos. Presets and team brand assets are retained for reuse separately from portrait-media expiry. Changing a later default does not change an existing batch, so review which preset you apply to each new batch.
